All personal data is processed and stored securely, for no longer than is necessary in light of the reason(s) for which it was first collected. We will comply with our obligations and safeguard your rights under the UK GDPR at all times.
Our use of your personal data will always have a lawful basis, either because it is necessary for our performance of a contract with you, because you have consented to our use of your personal data, or because it is in our legitimate interests. Specifically, we may use your data for the following purposes:
- Providing and managing your access to our site;
- Supplying our services to you;
- Responding to enquiries and emails from you;
- Supplying you with emails that you have opted into (you may unsubscribe at any time);

7. How and where we store your data
We only keep your personal data for as long as we need to in order to use it as described in section 6, and/or for as long as we have your permission to keep it.
Some of the third-party service providers we use (see section 8) store and process data outside the UK, including in the United States. Where we or our providers transfer personal data outside the UK, we take steps to ensure that appropriate safeguards are in place, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or transfers to jurisdictions covered by UK adequacy regulations (including the UK Extension to the EU–US Data Privacy Framework).
Data security is very important to us. To protect your data we use appropriate technical and organisational measures. However, please remember that the transmission of data over the internet is never completely secure, and you are advised to take suitable precautions when transmitting data to us over the internet.
8. Do we share your data?
We do not sell your personal data. We may share your data with carefully selected third-party service providers (“processors”) who help us operate our business and website. These processors only act on our instructions and are bound by contractual obligations to keep your data secure. They currently include:
- HubSpot — our customer relationship management (CRM) platform, used to manage enquiries, contact forms and communications;
- Cloudflare — our website hosting, content delivery and analytics provider;
- Microsoft 365 — our email and productivity platform, used to communicate with you.
We may also share your data if required to do so by law, for example in response to a court order or to comply with legal or regulatory obligations.
9. What happens if our business changes hands?
We may, from time to time, expand or reduce our business, and this may involve the sale and/or transfer of control of all or part of our business. Any personal data that you have provided will, where it is relevant to any part of the business being transferred, be transferred along with that part, and the new owner or controlling party will be permitted to use that data only for the same purposes for which it was originally collected by us. Where any of your data is to be transferred in this way, we will contact you in advance to inform you of the changes.
10. How can you access your data?
You have the right to ask for a copy of any of your personal data that we hold. Under the UK GDPR, no fee is payable and we will provide the information free of charge. Please contact us at privacy@otterit.co.uk for more details.

We may change this Privacy Policy from time to time (for example, if the law changes). Any changes will be immediately posted on our site, and you will be deemed to have accepted the terms of the Privacy Policy on your first use of our site following the alterations.
